FoundRae is a company that creates modern heirloom jewelry intended to express personal identity and values. They are seeking an organized and proactive Executive Assistant and Office Manager to provide high-level administrative support to the CEO and ensure smooth daily office operations.

Responsibilities

Manage the CEO’s calendar, schedule meetings, and prioritize in partnership with the CEO

Arrange domestic and international travel, including flights, accommodations, and itineraries

Manage and maintain CEO`s expenses and travel budget

Proactively prepare meeting agendas, presentations, and supporting materials

Lead execution of CEO led meetings including quarterly townhall, board meetings, and leadership meetings

Take detailed meeting notes and ensure timely follow-up on action items

Oversee daily office operations, including ordering supplies and maintaining employee needs

Partner with the leadership team to manage and execute executive-level projects and presentations, ensuring alignment, timely delivery, and high-quality outcomes

Coordinate and track office maintenance requests to ensure timely resolution

Work in partnership with IT and HR to support new hire setup

Serve as the main point of contact for office vendors and service providers

Support special projects and initiatives as assigned by the CEO

Maintain confidentiality and handle sensitive information with discretion
