Assistant Office Manager

Baum Asset Management is a privately held real estate services firm based in Chicago, IL. They are seeking a full-time Assistant Office Manager to manage office operations and provide administrative support, with significant growth potential into future administrative roles.

Real Estate

Responsibilities

Serve as the first point of contact for visitors and manage the flow of visitors, calls and digital inquiries
Perform general administrative duties, including scanning, copying, processing inbound/outbound mail, file maintenance, and scheduling meetings
Host employees, associates and company guests: offer beverages, order and serve meals, and assist with cleaning and organizing
Coordinate events, host client meetings and happy hours
Order supplies within approved guidelines and ensure proper stock is maintained
Run errands (light package delivery/pickup, lunch and snack pickup, install real estate signage)
Manage access cards, parking cards, parking spot assignments, and agreements, providing reports as requested
Order and maintain kitchen and pantry supplies
Coordinate repairs for office equipment and communicate with ownership for pricing approval
Oversee daily janitorial services and ensure the cleanliness of the office, inclusive of re-stocking bathrooms and maintaining the kitchen
Water plants, refill bathroom and office consumables and maintain the physical office space
Open and direct mail and email communications
Assist in assembling real estate tour books and marketing materials
Assist with paperwork associated with running the office, including licenses and permits
Receive, review and track revised certificates of insurance from vendors, tenants and property management clients
Generate financial reports from accounting software and assist in distributing these reports to third-party clients
Obtain construction draw documentation (including lien waivers and sworn statements) and review for completeness and accuracy
Book travel for associates, including flights, cars, hotels, and restaurant reservations, and package entire itineraries into organized electronic files
Reconcile credit card purchases for associates using accounting software
Collect estoppels during due diligence for property sale, and additional documents as needed

Required

Associate's degree or equivalent
1+ years of experience as a Receptionist, Administrative Assistant, or a role in the hospitality industry
Valid Illinois Driver's License and access to a vehicle
Attention to detail and accuracy
Professional communication skills, both written and verbal
Ability to manage multiple priorities from at least two managers
Ability to work independently with minimal supervision and interact effectively with all levels of management
Strong organizational, interpersonal, and communication skills
Detail-oriented with the ability to handle important, sometimes repetitive tasks like tracking vendor W-9 forms and certificates of insurance
