Responsibilities

Monitor and manage the progress of complex client matters from open to close
Track deadlines, filings, court schedules, and key milestones to ensure timely completion of all case-related tasks
Maintain organized, accurate case files and internal records
Ensure attorneys are prepared for hearings, filings, meetings, and deadlines
Provide regular case status updates and flag upcoming risks or bottlenecks
Serve as a primary liaison between attorneys and support staff to ensure seamless execution of case-related tasks
Ensure milestones are met and consistent forward progress is maintained across assigned matters
Lead case management and strategy sessions including agenda preparation, follow-up, and task assignments
Act as a professional, reliable point of contact for clients regarding case updates, timelines, and next steps
Respond promptly and professionally to client inquiries, reinforcing confidence and trust
Manage expectations around timelines, next steps, and required information
Conduct periodic client check-ins to ensure clarity, alignment, and client satisfaction
Maintain strict confidentiality and a high degree of professionalism
Identify workflow gaps and inefficiencies and recommend practical solutions
Support firm-wide initiatives related to documentation, structure, and process improvement
Assist with implementing systems, standard operating procedures (SOPs), and task tracking tools
Provide backup coverage to other administrative staff as needed

Required

Bachelor's degree in business or other related field
Ability to manage a high-volume, high-complexity caseload
Strong organizational skills with exceptional attention to detail
Exceptional written and verbal communication skills with a professional, client-service mindset
Ability to anticipate needs, problem-solve independently, and execute with minimal direction
Ability to prioritize competing deadlines and remain effective under pressure
Demonstrated success working collaboratively in a fast-paced law firm or professional services environment

Preferred

PMP certification or demonstrated project management experience
2+ years of experience in case management, legal operations, or paralegal support, business law or litigation experience
Proficiency with Microsoft Office and Clio Grow/Manager (CRM)
