Customer Service and Adminstrative associate

QualiTech is a manufacturer of plant nutrition, animal nutrition, and food ingredients products and services. They are seeking a highly organized and action-oriented full-time team member to support administrative activities and provide superior customer service while managing multiple priorities.

Responsibilities

Enter Orders into ERP system, monitor for timely processing and shipment
Submits invoices to Customers via E-mail, mail or Customer systems. Process credits and debit memos when required. Review open Aging Report weekly with Finance and assist when needed in obtaining payment
Responds to customer requests for documentation or any other type of information needed
Manages Internal Price Quotes and prepares proposals for Customers. Maintains Price List
Support and coordinate customer freight delivery work processes within our current freight system
Communicate customer concerns or needs to sales staff and executives
Compiles data on marketing trends, competitive products and pricing and reports to management
Work with company approved tools and systems (Budget Variance, Adage, etc.) as trained by internal instruction (IT)
Assist in social media management, public relations outreach support and general marketing support
Serve as the primary administrative point of contact for office vendors and service providers; coordinate routine service requests, troubleshoot issues, and maintain vendor contacts and contracts
Provide day-to-day administrative support for office operations, including facilities coordination, janitorial follow-up, entrance updates, and holiday notices
Manage office supply, breakroom, and general inventory needs; coordinate ordering and vendor support to ensure consistent availability
Maintain offsite storage records and inventory using designated tracking systems or online portals
Maintain standardized administrative documents, calendars, directories, and organizational charts
Support front desk and office communications, including voicemail management, digital displays, email distribution lists, and general office messaging
Coordinate seasonal office activities, including holiday decor setup and tear-down, services awards, and employee recognition (cards, and acknowledgments) in collaboration with department leadership
Provide general administrative and operational support, including assistance on equipment issues

Required

High School diploma or higher
At least 2 years of Customer Service or relevant experience
Effective verbal and written communication skills required
Highly organized, accurate and detail oriented
Sales/marketing, presentation skills
Ability to work in a team-based environment
Good planning and execution skills
Must be a person of high integrity, commitment, and possess a strong work ethic
Energetic problem solver
Capable of analyzing difficult situations and affecting an appropriate course of action
Computer software skills applicable to position (i.e. Microsoft Office, internet, etc.)
Ability to think conceptually and creatively
Must be able to work independently with some supervision

Preferred

Experience in manufacturing environment is highly desirable
