Responsibilities
Oversee accurate and timely multi-state payroll processing using HRIS systems
Ensure compliance with all federal, state, and local payroll tax laws and regulations
Resolve payroll discrepancies and implement corrective actions
Partner with HR to ensure employee data changes (new hires, terminations, pay updates) are accurately reflected
Manage payroll system upgrades, regulatory changes, and year-end payroll activities
Maintain payroll documentation, internal controls, and audit readiness
Coordinate payroll tax filings, reporting, and responses to audits
Develop and manage an annual payroll and benefits calendar (merit cycles, W-2s, open enrollment, PTO cash-out, etc.)
Communicate payroll-related timelines and updates clearly to leaders and employees
Manage employee benefit programs including health insurance, retirement plans, and voluntary benefits
Lead open enrollment planning, communication, and system administration
Partner with brokers and vendors to manage healthcare costs within budget
Monitor regulatory updates to ensure compliance and competitive offerings
Promote employee education and engagement around benefit options
Recommend improvements to benefit programs to support retention and efficiency
Lead, mentor, and develop a team of payroll and benefits professionals
Foster a collaborative, high-performance culture focused on continuous improvement
Provide coaching, performance feedback, and professional development support
Ensure compliance with ERISA, ACA, FMLA, SUI, and all payroll-related tax requirements
Prepare and submit regulatory filings including Form 5500 and ACA reporting
Serve as the primary contact for payroll and benefits vendors
Evaluate vendor performance and negotiate contracts for quality and cost effectiveness
Qualification
Required
Bachelor's degree in Human Resources, Finance, Business Administration, or related field
10+ years of payroll and benefits experience, preferably in a multi-state environment
Prior experience leading or supervising payroll and/or benefits staff
Strong knowledge of payroll tax regulations and compliance requirements
Experience with HRIS platforms (ADP, Workday, Dayforce, or similar)
Advanced Excel skills and strong analytical abilities
Excellent communication, leadership, and cross-functional collaboration skills
Preferred
SHRM-CP, PHR, or similar HR certification
Certified Payroll Professional (CPP)
