Executive Assistant, Senior VP of Campus Operations
Collin College is seeking an Executive Assistant to provide high-level, confidential administrative and operational support to the Senior Vice President of Campus Operations. This role is essential for the effective functioning of campus operations, requiring exceptional organizational skills and the ability to manage complex priorities.

Responsibilities
Provide comprehensive administrative support to the SVPCO, including complex calendar management, scheduling, and coordination of meetings across multiple operational units
Anticipate executive needs, prioritize requests, and proactively manage deadlines and competing priorities
Proofread SACSCOC accreditation proposals and documents and assist with maintaining accreditation requirements
Assist with writing documentation and correspondence, while maintaining the highest level of sensitivity and confidentiality
Prepare a wide variety of forms, documents and reports, including contracts, financial records and forms, state or county documents and reports, board and division meetings, conferences, and travel records. Create and maintain filing system as required by law. Proofread all work to ensure accuracy
Assist with preparation, revision, implementation, maintenance and monitoring of the division budget. Orders office supplies, equipment and services through appropriate purchasing system. Process numerous financial documents according to Business Office procedures
Prepare high-quality presentations for the use of executives
Prepare spreadsheets that can be used for predictive analytics
May assist in planning, hosting, and supporting official events sponsored by the District President's Office
Use current systems to acquire needed information on students, faculty loads, and budget
Maintain confidentiality in all matters related to the executive's office, including organizational plans and human resources matters
Track operational initiatives, capital projects, and key performance metrics; follow up on action items to ensure timely completion
May serve as backup to other executive assistants
Maintain working knowledge of college policies and procedures and respond to emergency situations in a calm and professional manner
Perform other duties as assigned

Qualification
Required
Associate degree from an accredited institution and four (4) years of related experience OR equivalent combination of education and experience
