Responsibilities

Greet patients and visitors using excellent customer service skills using appropriate verbal, non-verbal, and written techniques when scheduling or conveying information to patients, visitors, physicians, nurses, or ancillary staff. Demonstrate strong interpersonal and empathy skills to help patients feel welcome, acknowledged, and engaged in the patient experience
Conduct pre-registration, check-in, check-out, appointments, and other related tasks as requested by the physician in a timely and accurate manner
Obtain all required registration and intake information from patients; verify and/or update any new insurance or other information in Epic; obtain prior authorizations and referrals for visits and tests and verify eligibility for services; accurately indicate arrivals, no-shows, reschedules, and physician cancellations in Epic; collect all time-of-service and past due payments
Manage and review physician’s schedule to ensure all authorizations and pre-certifications for office visits and procedures are obtained
Review patient’s registration and insurance for accuracy. Contact patients as needed to update missing information and prescreen patients
Assist patients with enrolling in Connect and completing pre-registration forms and questionnaires
Perform other related duties as assigned by practice management
Coordinate and schedule appointments, procedures, and other specialty services/tests as requested by the physician in a timely and accurate manner
Respond to inquiries in a timely manner and in accordance with department policy. Assist with coordination of care to other specialties and appointments
Provide instructions to patients in a manner that facilitates patient safety and standard operations for the practice
Function as a liaison between the clinical provider, referring physician, and patient in all aspects of scheduling appointments and related imaging services
Ensure that patients have appropriate instructions related to their appointments
Verify patient insurance eligibility and benefits as needed
Conduct all pre-determination, authorization, and pre-certification. Manage these processes and documentation closely to ensure no scheduling delays
Maintain follow up on projects/reports and inform physicians and managers of critical situations or changes
Perform administrative duties as it pertains to practice or specialty. This may include provider administrative support, participating in various projects and/or meetings, and completing other tasks as assigned by management
Answer telephones, make appointments, handle and redirect inquiries as appropriate
Review and handle in-basket and telephone messages in a timely fashion
Manage all assigned Epic work queues. Assist others with backlog or increased volume activity
Ensure that University and Department policies and procedures are followed
Successfully complete all required university, hospital, and department trainings
Follow end-of-day closing procedures
Ensure that the overall condition of the workspace is clean and safe according to practice standards. Escalate any issues to Environmental Services, Engineering, Central Sterile, Materials Management, etc., and ensure follow through
Ensure inventory and adequate supply of personal protective equipment and other hygiene products in point-of-entry and mixed-use areas. Inform manager if inventory needs replenishment
Provide general administrative support to physicians and manager

Required

High school diploma or equivalency is required
A minimum of 3 years' experience in a medical office environment with strong proficiency with medical terminology is required
Strong customer service orientation, interpersonal skills, and the ability to deliver consistent exceptional service, while demonstrating tact, respect and sensitivity
Well organized and ability to manage a demanding workload and moderately complex cases in an accurate and timely manner
Ability to participate as a member of a team, including reliability, punctuality, and adaptability to new and changing situations
Ability to work independently and follow through and handle multiple tasks simultaneously
Excellent verbal and written communication skills
Ability to work with a variety of individuals and groups in a constructive and respectful manner while appreciating the unique contributions of an inclusive workforce that brings together the talents of people across multiple identities
Strong commitment to fostering diversity and equity
Working proficiency in Microsoft Office (Word and Excel) or similar software is required, and an ability and willingness to learn new systems and programs
Must be a motivated individual with a positive mindset and exceptional work ethic
Must successfully complete systems training requirements

Preferred

Prior experience in Epic is preferred
Prior experience in a radiology office setting is strongly preferred
