Executive Operations Coordinator

Network Connect LLC is seeking an Executive Operations Coordinator to support firm leadership and project teams by managing core administrative tasks and coordination workflows. This role is essential for reducing operational friction and ensuring high-quality client work and timely delivery by serving as a central point of coordination across various stakeholders and deliverables.

Responsibilities

Manage leadership calendars, meeting scheduling, and logistics (links, agendas, pre-reads)
Proactively flag conflicts, upcoming demands, and missing prep items
Coordinate occasional business logistics (shipping, printing, supplies)
Own scheduling for client meetings, including kickoffs, recurring check-ins, and reschedules
Handle stakeholder outreach, confirmations, reminders, and follow-ups
Maintain accurate contact lists and scheduling notes
Maintain a production calendar tracking milestones, reviews, and delivery dates
Route deliverables for review, track progress, and ensure timely distribution
Track deadlines, send reminders, and escalate risks or bottlenecks as needed
Track action items and follow through on internal meetings
Coordinate onsite meetings or events as needed (space, AV, printing, supplies)
Support light project tasks such as document formatting, basic QA checks, and readiness reviews
Assist with client onboarding logistics and relationship touches (welcome kits, gifting, kickoff setup)
Maintain organized digital folders, templates, and file naming standards
Help document and improve repeatable workflows and SOPs

Required

3+ years in an administrative, operations, or coordinator role (professional services preferred)
Highly organized with strong attention to detail and follow-through
Comfortable coordinating across multiple stakeholders with professionalism and discretion
Able to manage shifting priorities and deadlines in a fast-paced environment
Proficient with Microsoft Office, Teams, and shared drives
