Junior Administrative Coordinator (RE / Property Management)
EcoShield Pest Solutions is one of the fastest-growing pest control companies in the country, and they’re seeking a detail-oriented Junior Administrative Coordinator to support their Real Estate and Property Management team. The role involves organizing leases, coordinating with landlords and vendors, and providing administrative support to ensure smooth operations within the multi-location portfolio.

Responsibilities
Assist with organizing and maintaining leases, amendments, and related real estate documents
Help review leases and contracts to identify key dates, financial terms, and landlord responsibilities
Track lease expirations, notice dates, rent changes, and restoration requirements
Assist with day-to-day communication with landlords, property managers, and vendors
Help coordinate access for inspections, repairs, and maintenance
Track landlord requests and follow-ups
Enter and track invoices for rent, CAM, utilities, and vendor services
Assist with matching invoices to lease terms and approved scopes of work
Maintain payment status logs and basic reconciliations
Maintain spreadsheets and internal reports for lease data, costs, and service activity
Identify basic trends such as recurring repairs, increasing costs, or missing invoices
Provide summaries to the Real Estate team to support budgeting and vendor and landlord discussions
Help coordinate maintenance, repairs, and inspections as directed by Facilities or Utility Team
Maintain site histories for repairs, warranties, and issues
Schedule meetings, take notes, manage files, and assist with correspondence
Keep internal systems accurate and organized
Qualification
Required
2+ years of experience in real estate, property management, or facilities management
Knowledge of legal contracts, lease agreements, and property management principles
Strong organizational and data-entry skills
Ability to read and understand basic contract and lease terms
Proficiency with Microsoft Office and document management systems
Clear written and verbal communication
High attention to detail and willingness to learn
Preferred
Low-level AP or accounting experience preferred
Real Estate, Property Manager or Paralegal licensing is preferred, but not required
