Legal Secretary - Union County Court Administration

Union County Court Administration is seeking a detail-oriented, professional, and organized Legal Secretary to provide essential clerical and administrative support within the court system. This role involves working with sensitive legal documents, assisting the public, coordinating court schedules, and supporting court staff to ensure efficient daily operations.

Government Administration

Responsibilities

Greet and assist visitors, attorneys, law enforcement, and the public; respond to questions regarding court procedures and documentation
Answer and route phone calls; provide routine information and assistance as needed
Maintain and prepare calendars—including hearings, trials, meetings, and appointments—and publish updates on the court website
Prepare and process a wide range of legal documents, including subpoenas, warrants, court orders, criminal histories, motions, appeals, dispositions, expungement requests, and related filings
Track case statuses and documents; follow up on docket entries, decisions, and appeals
Receive, sort, and distribute incoming and outgoing mail and faxes; manage document flow between staff and external agencies
Provide administrative support to court staff, including drafting and proofreading correspondence, preparing files for hearings, and transcribing notes or dictation
Maintain accurate filing systems and electronic records; ensure case files are complete and updated
Monitor office supply inventories and coordinate purchasing and equipment maintenance
Prepare vouchers, reports, spreadsheets, payroll entries, time sheets, purchase orders, and other administrative documentation
Communicate with court officials, attorneys, county staff, and outside agencies to coordinate workflow and exchange information
Perform additional responsibilities such as confirming incarceration statuses, supporting victim/witness interviews, and assisting interns

Required

Vocational or technical training in legal secretary studies or an equivalent field
At least three (3) years of progressively responsible administrative or clerical experience, or an equivalent combination of education, training, and experience
Ability to obtain and maintain required system certifications (e.g., JNET)
Strong organizational skills and ability to prioritize work
Excellent verbal communication and customer service abilities
Proficiency with computers, databases, and office equipment
Ability to process and analyze data, follow detailed instructions, and exercise sound judgment
Ability to maintain confidentiality when handling sensitive legal information

Preferred

Prior legal experience is preferred
