Responsibilities
Set up new projects, budgets, phases, and billing terms in a project-based accounting system in accordance with contract requirements
Prepare and process monthly project invoices, including review of billable labor, reimbursable expenses, and percent-complete or time-and-materials billing
Partner directly with Project Managers to validate billing, project progress, and financial status
Track invoice status, respond to client billing inquiries, and assist with collections as needed
Monitor project budgets versus actuals, identify variances, and proactively flag financial risks
Support WIP review and revenue recognition as part of the month-end close process
Maintain accurate project financial records, including contracts, amendments, billing schedules, and supporting documentation
Coordinate with internal teams and consultants to ensure alignment with contract terms and billing requirements
Review and verify project-related AP charges for accuracy and proper project allocation
Ensure compliance with internal financial controls and contractual obligations
Qualification
Required
1+ years of hands-on project accounting experience, including project billing and direct collaboration with Project Managers
Experience supporting billing tied to project contracts, budgets, and schedules
Strong attention to detail and organizational skills
Proficiency in Microsoft Excel and accounting systems
Ability to manage multiple projects in a deadline-driven environment
Preferred
Experience in project-based environments such as architecture, engineering, construction, or design
Experience with project-based accounting systems (e.g., Ajera, Vision, or similar)
Exposure to WIP, revenue recognition, or percent-complete billing
