Office Manager

Responsibilities

Greet visitors and maintain building security
Coordinate workflow of information between sales and other departments
Oversee and manage division SVP’s (2) calendar and client agenda as assigned
Enter/log client bases (as needed for back up)
Contact messengers/shipping agencies for clients’ sample requests
Check, package and send out samples (Occasionally hand-deliver samples to clients)
Purchasing and Maintaining all Office/kitchen supplies for the Fine Fragrance division
Entering IT and Building tickets in Oracle
Receive and Distribute Incoming packages to the appropriate departments
Serve as a backup to project coordination
Offer refreshments to clients/order catering for meetings/ assisting sales in meeting preparation
Updating Sample tracking information in the Samtrack System daily
Coding Monthly American Express bills and matching receipts
Maintain NYC calendar and coordinate HR related event
Send out holiday gifts (fragrances and cards etc) to clients
Serve as main contact for office emergencies

Required

High school diploma or general education degree (GED) or Three to five years of executive assistant or office manager
Possession of strong organizational skills
Excellent verbal and written communication skills
Possess exceptional interpersonal communication skills
Ability to think and act proactively a must
Ability to work independently on assigned tasks as well as to accept direction on given assignments
Ability to work and interact in a fast paced – multi tasking - high energy environment
Ability to work collectively with project coordination team
Minimum computer skills needed such as word processing software, excel spreadsheets, powerpoint

Preferred

Experience in fragrance industry
