Responsibilities

Responsible for performing specialized administrative support activities involving complex work methods, procedures, problems, and specialized terminology
Receives and screens walk-ins and callers; informs walk-ins and callers of the office operations
Processes and maintains a large number of administrative support and/or fiscal records, billing, and invoicing
Independently composes routine correspondence or selects appropriate form letter reply using word processing software
Maintains a variety of confidential office files and records; compiles data; completes legal forms, timekeeping, and/or payroll
Prepares Department payroll using Human Resources Information System (HRIS); purchases office supplies using Advantage software
Maintains office calendar and schedules appointments; reads and routes incoming mail and assembles files and other material
Participates in work performed by supporting administrative staff, interns, and volunteers
Work is performed under the general supervision of an administrative superior and is reviewed through conferences, reports, and results achieved

Required

Graduation from high school or an equivalent recognized certification
Minimum of two (2) years of responsible office experience, which includes six (6) months reviewing, overseeing, and leading the work of others

Preparing payroll using HRIS or other payroll software (must specify on application)
Purchasing office supplies using Advantage or other automated financial system (must specify on application)
Using MS Word/Excel/PowerPoint
