Human Resources Assistant Intern

Responsibilities

Maintains accurate and up-to-date human resource files, records, and documentation
Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management
Maintains the integrity and confidentiality of human resource files and records
Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
Provides clerical support to the HR department
Assists with HR functions including writing correspondence and employee notices, running reports, responding to inquiries, formatting documents including policies and job descriptions, and answering employee questions
Conducts or assists with onboarding and new hire orientation
Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, holiday events, employee recognitions such as employment anniversaries and retirements
Stays informed and communicates yearly scholarship opportunities connected to Orenco's membership in outside entities for employees' dependents
Responsible for development and maintenance of HR department document management includes staying up to date with current company document standards, continued development and compliance within document management systems including the development and maintenance of department document naming matrix, and maintaining revision records
Coordinates with parent company and maintains current compliance with regulatory requirements for required employer postings required by government agencies
Responsible for managing and maintenance of the approved driver and CDL (Commercial Driver's License) processes, including compliance with state/federal agency regulations
Acts as department contact for maintenance and supply of the department's main printer/scanner/copier, includes maintaining its internal address book
Regular, consistent, and predictable attendance is required
Performs other duties as assigned

Required

Associate's degree in related field required
Excellent verbal and written communication skills
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
Excellent knowledge of secretarial and office administrative procedures
Skilled knowledge in the use, operation, and maintenance of standard office equipment
Excellent organizational skills and attention to detail with a high level of accuracy
Proficient with Microsoft Office Suite or related software
Experience with document maintenance applications and/or programs
Skilled in the development and maintenance of documents, processing edits, ensuring consistency, aligning structure, and maintaining department and company standards
Proficient with or the ability to quickly learn human resource information system (HRIS) and similar computer applications
Ability to be flexible and change priorities with little notice
Ability to use sound judgement and follow through in problem solving and decision making processes
Must be willing and able to travel
Must be able to comply with current travel regulations and guidelines of airlines and destination locations
Must be able to meet and maintain Orenco's approved driver criteria; a valid driver's license, satisfactory driving record, current insurance on personal vehicle, and meet company insurability requirements
