Administrative Assistant III - Assessment Services Support

NEOGOV is seeking an Administrative Assistant III to support the Assessment Services Unit within the Juv & Domestic Relations Court of Fairfax County. The role involves providing administrative support, managing confidential case records, and acting as a liaison between unit staff and the public to ensure efficient operations and communication.

Responsibilities

Serves as the only staff assistant to support Probation Supervisor II, Probation Counselor III, Assessment Specialists, and IDT Coordinators
Responsible for office management and confidential case record management
Acts as a liaison to interpret established court-related policies and procedures
Designs, creates and maintains spreadsheets and databases to track statistical records for delinquency cases, IDT cases, and diversion cases
Develops forms and templates for staff to ensure accurate collection of data
Tracks functional information and maintains computerized records for statistical reporting
Creates and maintains Unit SharePoint webpage for information communication
Provides timely communication to Unit Staff to meet unit goals and case needs
Makes collateral contacts to assist in the assessment and report writing process
Documents client contacts in Balanced Approach Data Gathering Environment (BADGE)
Ensures all court-ordered reports are submitted through Juvenile and Domestic Relations District Court Secure View System (JSVS)
Creates case files and confirms juvenile legal history
Coordinates with clients and families for required signatures on documents via Docusign
Orders office supplies and maintains budget records for all purchases
Prepares mileage forms for staff reimbursement
Assists staff in resolving computer problems and maintains a log of work order requests
Assists off-site computer personnel with testing and rebooting of computers when necessary
Ensures daily operations of the Assessment Services Unit run smoothly

Required

Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s)
The appointee to the position will be required to complete a criminal background check and Child Protective Services Registry check to the satisfaction of the employer
Knowledge of standard rules and interpretations within own functional area and a working knowledge of established methods and procedures used in related areas
Basic skills in the use of Microsoft Word
Basic math skills
Basic skills in the use of applicable Microsoft Office Suite software
Ability to write simple documents
Ability to process and integrate complex data
Ability to establish and maintain effective working relationships with both external and internal contacts
Ability to perform data entry into Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems in at least three functions (e.g., create shells, accounts payable processing)
Ability to perform routine Human Capital Management Enterprise Resource Planning system functions (e.g., process PARS, requisitions)
Ability to maintain confidentiality and be sensitive to political issues

Preferred

Two or more years of experience working in a court or other legal environment
At least two years of experience in customer service or as front desk staff
Experience using multiline phones
Experience using a court case management system; an online calendaring or appointment scheduling system; and/or using BADGE, CMS, JDAC, JSVS
Proficiency with using Microsoft Excel, Word, Outlook, Teams, and SharePoint
Excellent interpersonal, oral and written communication skills
Ability to work independently and as part of a team
