Responsibilities

Providing general administrative support across multiple services, staff, and suites
Collecting, compiling, and analyzing moderately complex data related to payroll, financials, and procurement, including reconciliation
Processing biweekly and monthly payroll, including review and reconciliation for accuracy
Updating and maintaining paid time off balance sheets
Processing travel, hosting, mileage, and expense reports for all staff
Maintaining, auditing, and managing HR Blue folders and confidential records
Managing, analyzing, and prioritizing complex calendar activities
Preparing meetings, including agendas, materials, and meeting minutes
Establishing and maintaining email distribution lists
Maintaining confidential documents through filing, copying, scanning, and mailing as needed
Overseeing basic maintenance, service, and contracts for office or medical equipment
Ordering office supplies, medical equipment, and special items as needed
Preparing Statements of Activity (SOA) and reconciling expenses
Creating, processing, and reconciling purchase orders (POs)
Assisting faculty and staff with administrative and operational needs
Coordinating on-site and off-site meetings, events, trainings, and conference calls, including agenda setting, room reservations, and catering

Required

Two to four years of administrative experience is necessary
Individual must exhibit a professional and positive image when interacting with patients, faculty and staff
They must also adhere to a high standard of personal and professional conduct
Possess excellent customer service, interpersonal, and communication skills
Demonstrated ability to interact with a diverse population
Candidates must be able to work effectively with a multidisciplinary team
Handling multiple responsibilities in a fast-paced environment
Candidate must demonstrate problem solving skills
Proficient computer and keyboarding skills
Excellent attendance

Preferred

Experience within an ambulatory setting
Knowledge of University policies and procedures
