Responsibilities
Coordinates the College's travel plans and expenditure reports for faculty, administrators, staff, students, and visitors which includes creating and maintaining expense itineraries, travel budgets, and expense reports for the Director of Finance
Serves as the merchant account's primary contact or technical contact. Handles sensitive cardholder information and/or processes credit cards transactions for the department/unit. Assures compliance and adherence to university credit card policies and procedures. Oversees filing systems and monitors efficiency for the college's finance office
Processes credit card payments, requisitions, interdepartmental transfers, smart billing, unencumbered payments, and other payment methods approved by the university's purchasing department. Utilizes the TCM (Total Contract Manager) Module to process contracts while conforming to university policies and guidelines. Serves as the University's credit card user for departmental transactions. Interprets and analyzes University's credit card policies and procedures. Develops interpersonal contacts that are varied and often at the higher level and tends to involve a broad range of problem solving activities. Resolves problems that have significant impact on the overall goals of the department
Assists the Sr. Director of Finance with monthly reconciliation of DSO funded activities to include scholarship/TA awarding, salaries, and all other appropriate reimbursements are received vs funding requested. Enters budget transfers for the Director's approval as needed
Assists the department with the internal expense and deposit approval process. Supervises student assistant, as needed
Supports scholarship processing and administration to include entering requested scholarship/teaching awards
In the absence of the primary HR Liaison, serves as the back-up for processing HR transactions or answering HR inquiries
Interprets and analyses university policies and procedures pertaining to travel and university purchasing processes
Develops interpersonal contacts that are varied and often at the higher level and tends to involve a broad range of problem solving activities
Resolves problems that have significant impact on the overall goals of the department
Qualification
Required
Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department
Preferred
Knowledge in PeopleSoft
Experience in maintaining financial accounts and processing payments
Knowledge of advanced features in Microsoft Office Suite and SharePoint
