Responsibilities
Manage and coordinate 20+ remote team members and vendors across multiple brands and projects
Own all task and project management (ClickUp / Notion / Asana or similar)
Enforce deadlines, priorities, and accountability so work ships on time
Ensure websites, creatives, SEO tasks, and other deliverables are completed to a high standard
Review work for accuracy, quality, completeness, and consistency (details matter here)
Catch errors before they ship — missing steps, broken links, incorrect info, formatting issues, etc
Identify bottlenecks, risks, and inefficiencies across teams and workflows
Manage vendor relationships and ensure payments, contracts, and deliverables stay aligned
Track workload, capacity, and burn so the team is neither overloaded nor underutilized
Deliver weekly reports to the CEO: what’s done, what’s stuck, what’s at risk, and what needs a decision
Proactively suggest process improvements, tools, and operational changes to support growth
Help turn chaos into systems: build SOPs, checklists, and repeatable workflows where needed
Qualification
Required
Has run or managed operations for a fast-moving online business, agency, or digital team
Is extremely organized, structured, and execution-driven
Has strong attention to detail and naturally double-checks work without being asked
Is comfortable managing multiple teams, projects, and deadlines at once
Thinks independently, anticipates problems, and solves them without waiting for instructions
Is confident holding people accountable and having direct, respectful conversations about performance
Can operate under pressure in a high-growth, changing environment
Enjoys turning chaos into systems and ambiguity into clear plans
Preferred
Digital marketing, lead generation, or agency operations
SEO, websites, or performance marketing familiarity
Managing distributed or offshore teams
Experience with tools like ClickUp, Notion, Airtable, Slack, and Google Workspace
