Program Coordinator

Miles Parks Group (MPG) is a professional services firm providing executive administrative assistance and project management. They are seeking a detail-oriented Program Coordinator to provide program support for a client in the Professional Association industry, focusing on operational and administrative support across multiple projects.

Business Consulting and Services

Responsibilities

Work directly with the Program Manager & Event Manager to provide administrative and operations support for Executive-level leadership development courses held nationwide
Manage program timelines, deliverables, and milestones to ensure successful execution
Coordinate with the on-site Event Manager to prepare program materials for in-person meetings
Track action items and follow up with stakeholders to drive completion
Maintain organized program files and documentation systems
Serve as a point of contact for program participants and facilitators
Draft and distribute program communications, updates, and reports
Schedule and coordinate team planning meetings
Respond to inquiries and requests in a timely, professional manner
Utilize MPG’s platforms and systems to support program administration
Create and manage event registrations
Create and maintain spreadsheets and databases to track program enrollments
Process invoices, expense reports, and other financial documentation
Prepare reports and presentations as needed
Maintain accurate records and ensure data integrity
Assist Program Manager with project planning and resource allocation
Monitor project progress and identify potential issues or delays
Support the implementation of process improvements
Collaborate with team members on cross-functional initiatives

Required

Minimum 2-3 years of experience in customer service, administrative support, project coordination, or program management
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience with project management tools and collaboration platforms
Ability to work independently with minimal supervision
Strong time management skills and ability to prioritize multiple tasks
Professional demeanor and customer service orientation
Reliable high-speed internet connection and professional home office setup

Preferred

Experience working with professional associations or membership organizations
Familiarity with association management systems (AMS) or CRM platforms
Experience with Smartsheet, Bill.com, ClearVantage or similar platforms
Basic understanding of AI tools and workflow automation
Experience supporting executive leadership or board-level initiatives
