Administrative Assistant / Bookkeeping
Confidential is a growing IT and services business seeking a detail-oriented and motivated Administrative Assistant with bookkeeping knowledge. This role combines administrative support and light bookkeeping while coordinating with customers and vendors to ensure smooth daily operations.

Responsibilities
Provide administrative support, including email management, scheduling, and document organization
Perform accurate data entry and maintain organized digital and physical filing systems
Assist with bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and payment records
Support billing, customer accounts, and basic financial reporting
Communicate professionally with customers via phone and email, providing excellent customer service
Assist with vendor coordination, including placing orders, tracking deliveries, and maintaining vendor records
Support technical support ticketing systems by creating, updating, and tracking service requests
Assist with office operations such as supply ordering, document proofreading, and general clerical tasks
Occasionally visit customer job sites within the Bay Area to assist with administrative or coordination needs
Perform data entry tasks accurately using computer skills and software such as Microsoft Office and Google Workspace
Qualification
Required

Strong organizational and communication skills
Comfortable using computers and office software (Microsoft Office, Google Workspace)
Reliable, detail-oriented, and willing to learn
Valid driver's license and ability to travel locally within the Bay Area when needed
Written and verbal communication skills
Preferred
QuickBooks experience is a plus
Familiarity with ticketing systems or service-based businesses is a plus
