Responsibilities

Keeping apprised of assigned clients' brands, products, services and marketing developments
Providing the marketing services team with administrative support within the agency during client conference calls and meetings
Answering client calls and emails, and delivering updates to the appropriate team members
Keeping apprised of the progress of clients' projects through the Traffic Manager
Keeping minutes for client conference calls and meetings, and distributing them to appropriate client contacts
Preparing client conference calls and meeting materials
Generating project proposals, agency production memos, client memos and other correspondence
Quickly and accurately relaying project Change Orders to all appropriate agency personnel
Gathering and assembling background information and research data for clients and projects
Proofreading all projects for accuracy in grammar and punctuation
Maintaining digital archives of completed work and client-approved projects for future reference
Executing client status reports and insightful response tracking reports
Actively participating in kickoff calls and collaborative brainstorming sessions, and effectively presenting agency work to clients
Researching media opportunities and drafting recommendations for consideration by the marketing services team
Updating media plans as needed
Creating insertion orders for media placements and communicating with media personnel to reserve space
Ensuring creative files are provided to media partners accurately and on time
Alongside the digital marketing team, ensuring campaigns are running accurately and that metrics are positive, and adjusting budgets and targeting as needed
Maintaining digital copies of media reference files (proposals, contracts, insertion orders, reports, and invoices) on Google Drive, for easy access by all teammates
Reconciling client media budgets monthly, and providing updated budgets to the marketing services team
Oversees the monthly social media content process - from concept to completion - for assigned clients
Maintains client brand voices across applicable social media channels and ensures all published content supports these distinct voices
Creates strategic monthly content calendars for clients under the guidance of the Director, Digital Marketing and Marketing Managers
Schedules, publishes and works with the digital marketing team to promote content on social media platforms on a daily basis for assigned clients
Performs high-level, industry-specific research related to social media to identify best practices and new trends
Keeps up with fast-paced client and agency demands, while multi-tasking and remaining proactive to ensure work is accurate and completed on time or in advance of deadlines, and regularly works to get ahead of schedule
Takes responsibility for more aspects of complex client projects (such as digital development, digital marketing, event planning/execution, and video production)
Demonstrates greater efficiencies in day-to-day responsibilities (such as producing creative briefs, media plan review/traffic management planning, meeting preparation, and assigned research tasks)
Demonstrates a greater understanding of the business models and growth needs of assigned clients, the new home construction industry in general, and best practices for marketing and advertising
Commitment to continuous learning and personal growth to expand knowledge of marketing and the new home construction industry via agency-provided resources (ie, books, podcasts, blogs, and seminars/conferences as available)
Consistently demonstrates clear communication with clients, vendors, and internal team members in person, in Zoom, over the telephone, via Slack, and through email
