Administrative Specialist III

The State of Missouri's Office of State Courts Administrator provides an opportunity to work in a meaningful role within the judiciary system. The Administrative Specialist III position involves performing highly responsible administrative secretarial work, including managing daily operations, scheduling, and communication for the State Courts Administrator.

Responsibilities

Communicates with internal and external organizational contacts
Administrative duties such as screens visitors and telephone callers to the office; prepares documents, letters and expense reports; and maintains files
Maintains electronic calendar for the State Courts Administrator and makes travel arrangements
Makes meeting arrangements, which include contacting hotels for costs, room availability, and coordinating with food service manager for banquet facilities
Tracks budget for the State Courts Administrator
Handles complex complaints and requests for information/assistance regarding operations at a senior executive’s level
Relays complex and important communications and messages; notifies State Courts Administrator of those situations requiring immediate attention
May serve as staff to committees and prepares meeting minutes, following through with assigned tasks resulting from those meetings

Required

Graduation from high school or GED equivalent and 6 years of professional experience involving full time work in a closely related field
Additional experience above the minimum stated may be substituted on a year for year basis for the required education

Preferred

Possesses strong knowledge of software packages used to prepare correspondence, manuals, articles, spreadsheets, graphs, meeting minutes, and reports
Ability to understand and carry out complex oral and written directions
Ability to maintain effective working relationships with judges, court personnel, coworkers, staff from other agencies, and vendors
Ability to take and organize meeting minutes
Ability to compose correspondence, articles, and documentation of moderate complexity
Ability to communicate effectively with others in a tactful and courteous manner
