The Adjutant Generals Department is seeking a part-time Administrative Scheduler for the Department of Military Affairs and Veterans Services. The role involves performing diverse administrative duties, including customer service, scheduling events, and managing records at the Edward Cross Training Center.

Responsibilities
Performs administrative duties to include but not limited to providing customer service to internal and external customers, answering phones and email, scheduling and confirming events, managing schedules, maintaining scheduling and event calendar and records, and greeting and assisting guests
Checks in on and follows up with guests utilizing the field and buildings, to include ensuring the areas have been left cleared and clean of debris in compliance with rental agreement. This task may include the need to operate a vehicle or golf cart to inspect remote locations on DMAVS property
Receives internal and external requests for the ECTC Parade Field, Regional Training Institute (RTI) and/or barracks usage
Coordinates directly with RTI / tenant units to maintain a master calendar
Utilizes the memorandum for usage to prioritize renters, follows procedures for violations, and communicates frequently with TAG appointed agents
Contacts confirmed renters 120 days from event to lock them in, or to cancel, as necessary, when bumped by higher priority groups or soldiers
Checks in / checks out clearing duties to ensure guests cleaned to the appropriate levels. Reports all issues to the Construction and Facility Management Office and/or G3
Keeps records on who stayed when, and if they followed all the rules. These records will also include funds collected tracked by fiscal year and entity
Works with state maintenance or contracted vendors to ensure areas remain serviceable and equipment replaced as needed
Receives state paperwork and funds generated on behalf of the State Business Office and keeps thorough records of transactions
Qualification
Required
Equivalent combination of 2 years of education and experience after completion of high school in secretarial, customer service, business, or equivalent field
Valid driver's license
Must successfully undergo a State Police records check
Must pass a National Agency Check (NAC) to obtain a Common Access Card (CAC) used in the performance of assigned work duties within 12 months of hire and be eligible for renewal as a condition of employment

Strong communication and organization skills
Experience managing a rental program or interacting with state agencies utilizing standardized processes
