Receptionist & Customer Service Rep

Homeward Bound Inc., a behavioral health provider, is seeking a full-time receptionist/customer service representative for its outpatient clinic and administration building near downtown Dallas. The role involves welcoming clients, answering phone inquiries, managing front desk operations, and assisting with various administrative tasks.

Responsibilities

Welcome and offer assistance to all clients, visitors and contract staff immediately upon their entry to the facility, according to facility policy
Answer the phone and be able to answer basic questions about programs in all buildings and be able to transfer calls appropriately
Be familiar with each program and its schedule, and be able to answer questions over the phone or in person
Greet each person as they arrive and have them sign in
Organize all guest sign in sheets by programs or reason for visit
Be able to direct and/or escort each guest to the appropriate department or individual
Assist in solving various problems that arise
Straighten, clean, and organize the front desk and lobby on a daily basis
Manage the room reservation log and know who is utilizing each room at any given time
Assist in setting up for trainings, meetings, and events
Collect, sort, and distribute all mail and packages
Update the phone extension list for the agency on a monthly basis
Keep a log of where each phone extension is physically located
Have a working knowledge of Microsoft 365 including Outlook and Teams
Become familiar with all electronic health records and be able to document incoming calls as well as verify for someone when their appointment is
Gather clients’ identity and financial information needed, make copies, and upload into their charts
Have a working understanding of emergency management and what to do in a medical, behavioral, or psychiatric emergency
Be able to find and give out basic forms staff might need such as satisfaction surveys, complaint forms, etc
Be aware of work orders and repairs that have been submitted for the building and the property and update the list as needed
Walk throughout the building when arriving and when departing each day and check for people who need assistance or other hazards
Client Food Pantry - Maintain availability of food items from clients through food pantry
Be able to work on site in Dallas Monday through Friday from 8:30am-5:00pm
Bilingual in Spanish and English preferred

Required

High school graduate or have GED
General knowledge of switchboard and basic office machines
If in a recovery program, must have one (1) year of continuous sobriety
Must have reliable transportation
General knowledge of switchboards
Basic office machine skills
Good oral and written communication skills
Observes client confidentiality requirements
Adhere to facility Policies and procedures
Demonstrate good interpersonal relationship skills with clients and staff members
Performs assigned duties and responsibilities in a timely manner
Ability to control problem situations in a calm and direct manner
Ability to establish and maintain a rapport with the clients
Ability to motivate, confront, and self-disclose in an appropriate manner
Demonstrates warmth, realness and empathy
Willingness to upgrade knowledge and skills through continued education and training
Ability to always interact with clients and their family members in a professional manner
