Responsibilities
Own and manage a high-volume calendar, including meetings, calls, and commitments
Coordinate schedules across internal teams, clients, and external partners
Handle rescheduling, follow-ups, and preparation to ensure meetings are productive
Help prioritize what truly requires attention versus what can wait
Support sales-related scheduling and follow-ups
Track ongoing conversations to ensure no leads or relationships are dropped
Assist with bookings for retreats, events, and client sessions
Maintain organized internal systems, documents, and trackers
Ensure tasks continue moving forward even as priorities shift
Assist in planning meetings, offsites, retreats, and special events
Help keep everything organized and on track before, during, and after
Manage inboxes and ongoing conversations with sound judgment and context
Draft responses or handle communications when appropriate
Ensure important messages are addressed promptly
Assist with travel planning and logistics
Support occasional personal tasks that help streamline work and daily life
Qualification
Required
Experience as an Executive Assistant, Operations Assistant, or in a similar role
Highly organized and detail-oriented without being overly rigid
Proactive and anticipate needs before issues arise
Communicate clearly, professionally, and confidently
Comfortable managing multiple priorities at once
Trustworthy and discreet with sensitive information
