Responsibilities
Monitor and manage office email for:
New patient inquiries
Scheduling requests
Questions from current families
Respond to inquiries in a timely, professional, and compassionate manner
Assist with scheduling, rescheduling, and general administrative communication
Contact insurance companies to:
Verify benefits
Confirm coverage details
Submit and track authorizations
Communicate insurance information clearly to families when needed
Maintain organized records of authorizations and benefit verifications
Maintain daily office tidiness and organization
Prepare and reset the clinic space for group sessions or events as needed
Ensure the office environment is welcoming, stocked, and ready for patients
Create and update Standard Operating Procedure (SOP) documents
Assist with administrative projects such as:
Uploading and organizing video content (e.g., transferring a video library to YouTube)
Organizing digital files and systems
Supporting workflow improvements
Complete other small administrative tasks as assigned
Qualification
Required
Strong organizational and time-management skills
Excellent written and verbal communication
Comfortable communicating with insurance companies and handling confidential information
Tech-savvy with ability to learn new systems (email, scheduling platforms, Google Drive, YouTube, etc.)
Self-motivated and able to work independently
Preferred
Experience in healthcare, pediatric settings, or administrative roles is a plus but not required
