Executive or Administrative Assistant

The Executive Assistant plays a critical role in supporting executive leadership and daily operations, requiring expert-level Excel skills and strong financial and administrative aptitude.
Responsibilities
Manage the Daily Tracker
Maintain Accounts Payable (AP) tab
Maintain Accounts Receivable (AR) tab
Maintain Payroll tab
Maintain Cement Usage tab
Maintain Job Billing Codes tab
Maintain Equipment Inventory tab
Verify vendor invoices for accuracy (AP)
Create, issue, and track customer invoices (AR)
Process payroll based on approved timekeeping data
Input QuickBooks transactions, assign to projects, generate P&L and Balance Sheets
File and maintain state licenses
Create and edit contracts using Adobe Acrobat
Submit contracts for signature via DocuSign
Conduct meetings via Microsoft Teams
Answer phone calls during business hours
Daily access, organization, and maintenance of SharePoint files
Render and manage production redlines and documentation
Qualification
Required
Advanced Microsoft Excel proficiency
Experience with AP, AR, payroll, and QuickBooks
Contract administration experience
Strong organizational and communication skills
High level of integrity and discretion
Preferred
Construction, utilities, or telecom industry experience
Familiarity with Render CRM
Experience supporting executive leadership
