Responsibilities
Process and pay bills accurately and in a timely manner
Organize and maintain physical and digital files for easy access and reference
Convert budget documents into PDF format and ensure proper documentation
Request invoices from contractors as needed and verify their accuracy
Monitor vacancy data by tracking occupancy reports and providing updates
Compile and prepare files and detailed reports for the Home Report
Coordinate schedules and appointments with property managers and vendors
Assist with data entry tasks and maintain accurate records
Generate detailed reports and ensure compliance with established procedures
Qualification
Required
Proven experience in administrative assistance or a similar role
Strong proficiency in Microsoft Excel and SharePoint for data management
Ability to answer inbound calls professionally and provide excellent customer service
Skilled in maintaining organized and accurate files and documentation
Experience in handling data entry tasks with precision and attention to detail
Familiarity with creating detailed reports and managing budgets
Excellent communication skills to coordinate with property managers and vendors
Ability to multitask and prioritize responsibilities effectively in a fast-paced environment
