Human Resource Assistant

The HR Assistant provides dedicated administrative and operational support to HR leadership, coordinating priorities and managing schedules while maintaining confidentiality.

Responsibilities
Serve as the primary point of contact for internal and external customers on behalf of HR leadership
Maintain and update daily calendars, including departmental and personal schedules, meeting coordination, and preparation of supporting materials
Prepare, copy, bind, and distribute documents as needed
Conduct research on internal or external topics and compile findings for review
Draft, format, and edit letters, reports, briefing books, communications, and financial documents
Organize and maintain electronic and physical records, ensuring easy retrieval of correspondence, presentations, and other documentation
Manage incoming calls, messages, and emails; prioritize communication needs and establish follow-up timelines
Schedule conference calls, prepare agendas, and coordinate logistics
Arrange travel, create detailed itineraries, and prepare, review, and track invoices and expense reports
Collaborate with other administrative assistants to provide cross-functional support to HR leaders and other executives as needed
Process invoices for approval and payment, ensuring compliance with organizational guidelines
Maintain up-to-date contact lists for HR and executive business engagements
Assist in planning and coordinating department events and activities
Provide general administrative support and complete special projects assigned by HR leadership
Qualification
Required
Minimum of three years of administrative experience required
Exceptional organizational skills with a high degree of accuracy and attention to detail
Proficient in Microsoft Outlook, Word, Excel, PowerPoint, and internet-based tools
Able to work independently with limited supervision
Demonstrated ability to adapt quickly in fast-paced, high-pressure environments with minimal instruction
Ability to remain calm and composed in stressful or time‑sensitive situations
Strong interpersonal skills with the ability to maintain confidentiality and handle sensitive information professionally
Highly dependable, punctual, and committed to meeting deadlines
Excellent communication and customer service skills, both verbal and written
Able to work schedule shifts that start at 12:00 PM until evening, weekends and holidays as needed
Preferred
Associate degree preferred
Prior experience supporting executives or senior leaders strongly preferred
