National Equipment and Fleet Manager
Wagner Construction Inc. is seeking a National Equipment Manager to oversee the financial and operational performance of their fleet and equipment portfolio. This role involves maintaining asset records, managing costs, and ensuring data integrity for effective decision-making regarding equipment utilization and capital planning.
Responsibilities
Maintain a complete equipment/fleet asset register (make/model/VIN/serial, class, location, assigned region/job, in-service date, condition)
Ensure proper documentation for additions, transfers, retirements/disposals, and sale records
Partner with Accounting on depreciation schedules and fixed-asset record accuracy
Maintain insurance schedules/values and support claims documentation when needed
Track and validate maintenance costs (internal shop labor, vendor invoices, parts) and allocate correctly to assets/jobs
Monitor fuel/DEF consumption, idle time, and usage anomalies; identify cost-saving initiatives
Drive preventive maintenance compliance reporting; quantify downtime and cost impact
Establish cost controls (approval thresholds, coding rules, purchasing discipline)
Develop and maintain an equipment rate structure (ownership + operating) by class/type
Review over/under recoveries monthly; explain drivers and recommend corrective actions (rates, utilization, disposition, rental swaps)
Partner with Operations/Project teams to improve accuracy in usage capture (hours/miles, job coding)
Build annual fleet budget: maintenance, fuel, outside services, licenses, telematics, and related OpEx
Lead CapEx planning and replacement forecasting using life-cycle cost and utilization trends
Support rent vs. own and repair vs. replace analyses; present recommendations to leadership
Own fleet/equipment data quality within the fleet management system(s)
Produce monthly executive reporting: utilization, downtime, PM compliance, cost/hr, fuel trends, top offenders, CapEx status, recoveries
Implement SOPs and training to standardize coding, approvals, and data entry across regions
Negotiate and manage vendor relationships (service, parts, tires, fuel programs, rentals, telematics)
Support compliance with DOT/IFTA (if applicable), registrations, inspections, emissions requirements, and internal safety standards
Track warranty opportunities and support recovery documentation
Qualification
Required
Bachelor's degree in Accounting, Finance, Business, or related (or equivalent experience)
7+ years managing equipment/fleet costs and assets in heavy civil / construction (multi-location preferred)
Strong command of fixed-asset concepts, internal controls, documentation discipline, and cost allocation
Advanced Excel skills; capable of building life-cycle cost and rate models
Experience with fleet/equipment management systems
Clear communicator who can turn field reality into clean financial reporting leaders trust
Preferred
CPA / CMA or prior construction cost accounting exposure tied to equipment
Experience building KPI dashboards and standardizing processes across regions
