Human Resources Assistant/Generalist
Ultimate Staffing is seeking an HR Assistant who can transition into the role of HR Generalist. The main responsibilities include supporting managers with employee coaching, processing new hire documentation, maintaining HRIS data, and assisting with payroll and employee relations.
Responsibilities
Support managers by coaching employees on basic performance and conduct expectations
Document coaching conversations, corrective actions, and follow‑up plans in alignment with company policy
Maintain accurate, confidential employee files and ensure documentation compliance
Process all new hire onboarding documents, ensuring accuracy and timely completion
Manage E‑Verify submissions and follow all federal compliance requirements
Conduct new hire orientations and assist in transitioning employees into the organization
Enter and maintain employee information in the payroll and HRIS systems
Ensure proper tax forms, direct deposit information, and payroll classifications are accurately recorded
Assist with payroll audits and troubleshooting employee payroll issues
Serve as the first point of contact for employee questions on policies, benefits, and procedures
Coordinate employee status changes, terminations, and transfers within systems
Prepare HR reports, track compliance items, and maintain HR calendars (training, reviews, etc.)
Assist with scheduling and delivering training programs, both company‑wide and department‑specific
Track training attendance, compliance, and completion records
Help develop training materials, job aids, and onboarding guides
Support HR leadership in updating and distributing company policies and employee handbook revisions
Help implement new HR initiatives and contribute ideas to improve HR workflows
Assist managers with documenting performance conversations and improvement plans
Provide guidance on policy interpretation and best practices for consistent employee treatment
Track deadlines for performance reviews and support the review process
Help gather information during employee relations issues and escalate to HR leadership as needed
Promote a positive work environment by assisting with engagement activities and communication initiatives
Gain exposure to all major HR functional areas including employee relations, compliance, benefits, payroll, and talent development
Take on progressively complex HR responsibilities to prepare for advancement into an HR Generalist role
