Payroll and Accounting Assistant

They are seeking a Payroll & Accounting Assistant responsible for processing payroll, managing employee data, and supporting accounting tasks while providing excellent customer service.

Responsibilities

Review and process timecards and payroll; compile employee time, production, and payroll data
Compute wages and deductions; enter payroll data and resolve discrepancies in timesheets/work charts
Process new‑hire paperwork and maintain payroll system data (rates, salaries, commissions, PTO, deductions, address changes, taxes, etc.) Ensure accurate payroll deductions for taxes, benefits, and contributions
Administer State Use Taxes and record/process federal and state payroll tax deposits
Reconcile payroll to the general ledger and monthly bank statements
Answer phones, provide information, take messages, transfer calls, and greet/direct visitors
Pull customer orders, process invoices, and fill orders
Open, sort, read, route, and distribute incoming mail; answer routine letters
Perform credit checks, maintain past‑due/deposit lists, and support credit‑related processing
Enter checks for deposit and prepare daily/weekly bank deposits
Sort freight paperwork, work with the freight company, and investigate all shipment issues
Create and maintain files including new customer or payroll files
Print checks for payment and assist with month‑end accounting tasks
Issue or reissue checks or direct deposits as needed

Required

Strong administrative organizational skills
Proven work history that shows commitment, reliability, responsibilities requiring a strong attention to detail
Background check and drug screen including THC upon acceptance of offer and at random per company policy
Review and process timecards and payroll; compile employee time, production, and payroll data

2+ years of payroll, accounting and administrative experience
Experience with MS Office including Outlook, Word and Excel and general office equipment
Reliable, detailed and confidential
Enjoy providing professional customer service to both internal and external customers

Preferred

Associates degree preferred. Education and experience in combination considered in lieu of degree
Experience in ADP Workforce Now is highly desired
Bilingual in English and Spanish preferred
