Responsibilities
Serve as the primary liaison with all facilities service providers, including electrical, HVAC, plumbing, landscaping, snow removal, cleaning, window cleaning, trash removal, and other contractors
Maintain contractor files, service records, and documentation of costs and payments
Manage contracts, maintenance schedules, and service agreements for all leased equipment
Source, evaluate, and engage new contractors as needed; coordinate competitive bids and conduct reference checks
Coordinate emergency repairs to facilities or equipment and ensure timely resolution
Manage office emergency response plans and security protocols; schedule and organize annual fire drills
Perform office administrative functions, including mailroom coordination, incoming and outgoing shipments, and purchasing of office, cafeteria, and furniture supplies
Ensure all facilities, grounds, and common areas are maintained in an orderly and professional manner
Coordinate with NY showroom building management to address repairs and ensure the showroom remains clean, organized, and presentable. Travel to the showroom as needed
Qualification
Required
Minimum of 3 years' experience in office management, facilities management, or a similar role
Hands-on experience coordinating contractors for HVAC, electrical, plumbing, landscaping, cleaning, and related services
Strong organizational skills with the ability to maintain accurate records and documentation
Professional verbal and written communication skills
Proficiency in Microsoft Word, Excel, and Outlook
Ability to lift up to 25 pounds
