They are seeking a Billing Specialist to manage client invoicing, ensuring timely and accurate billing for projects, and coordinating with project managers to align billing with contracts.

Responsibilities
Invoice Preparation & Submission: Create and send monthly client invoices, ensuring compliance with contracts and client portals
Project Setup & Maintenance: Configure project billing details, rates, and consultant fees in accounting/project software (Unanet)
Financial Reconciliation: Track project labor, expenses, and consultant costs, reconciling against contracts and budgets
Change Order Management: Process change orders and additional service requests, updating billing accordingly
Accounts Receivable: Monitor payments, send reminders for late payments, and assist with collections
Collaboration: Work with Project Managers, Principals, and clients to resolve billing issues and ensure accurate financial data
Reporting: Generate financial reports, support month-end closing, and identify opportunities to improve cash flow
Qualification
Required
Experience in AEC industry accounting
Proficiency with accounting software (Unanet or similar) and Microsoft Office (Excel)
Payroll processing and HR administration expertise
Strong attention to detail, organizational skills, and time management
Excellent verbal and written communication skills for client and team interaction
Understanding of project accounting principles
Preferred
Bachelor's degree in Accounting preferred (or active progress toward a related higher‑education program)
