Assistant to the Vice President for Enrollment Services
Belmont University is seeking a qualified Assistant to the Vice President for Enrollment Services. The role involves managing office operations, event planning, and communication while supporting the Vice President and overseeing budget and payroll tasks within a fast-paced enrollment environment.

Responsibilities
Efficiently reconcile division budget including invoice payment, tracking all budgetary expenses, setting up new vendors in BPS, submitting monthly 5th 3rd purchasing card reports, deposits, journal entries, and other budgetary tasks plus necessary communication
Efficient timely calendar management and communication for the VP for Enrollment Services; including meeting scheduling, event coordination (space, catering, budgeting, etc.), origination and management of meeting agendas, development of surveys, email communications, answering and navigating incoming calls, plus other tasks to assist the daily work of the VP
Precisely track and submit monthly payroll leave for Enrollment Division including submitting leave time into Banner. Communicate regularly with colleagues and campus constituents regarding leave balances and data
Efficiently and precisely enter prospect data into Slate derived from counselor travel contact cards and spreadsheets derived from StriveScan and other college fair experiences
Manage office supply and literature inventory as Designated Purchaser for Admissions. Purchasing of necessary items including office supplies, paper products, new employee name tags, business cards, office plaque inserts, and office keys. Responsible for ordering sympathy flowers for colleagues in need when necessary
Responsibly handle various office management tasks including but not limited to: onboarding details for new colleagues, travel arrangements, HR tasks (PAF's, exit forms, etc.), technology management of department printers and leased machines, folding machines, computers, submitting work orders to Facilities Management to handle team needs, and manage professional development team board and library. This role is responsible for hiring, training and managing Federal Work Study Eligible student workers who assist this role

Required
General computer knowledge
Ability to input large volumes of repetitious information and manage the processing of information from electronic sources
Ability to deal with high levels of repetitive activity
Ability to deal courteously and completely with customers by phone
High School Diploma or GED; bachelor's degree preferred
Demonstrated experience supporting senior leadership in a complex organizational environment
