RECRUITMENT OPERATIONS SPECIALIST

Responsibilities

Identify, create, execute, and manage key talent initiatives and programs as they support HMH's focus on bringing in the right talent. These initiatives/programs include, but are not limited:
Ensuring RightSourcing Contingent Worker initiative is effective, efficient, and compliant
Reviewing branding/formatting of HMH Career Site and working with the vendor for any content changes
Sending out satisfaction surveys to new hires and hiring managers and compiling the results
Creating agendas for monthly Recruitment meetings
Analyze and test current processes and systems/tools to determine effectiveness and efficiency and make process improvement enhancements
Collect data, perform root cause analysis of issues or problems, and propose solutions according to the current and future needs of the business
Oversee process change implementation and testing and review changes to ensure they result in measurable organizational improvements
Assist in the development and delivery of training programs or presentations communicating process revisions to the organization
Perform ongoing audits/reconciliations of data metrics including job postings, number of hires/transfers, offers extended/declined, I-9 completion, etc. to ensure data integrity as well as make recommendations to identify and eliminate data inconsistencies
Research and evaluate cutting-edge recruiting technologies
Manage all applicable activities within the iCIMS applicant tracking system (ATS) including ensuring proper workflow and status for each applicant/candidate
Produce and maintain operational documents for Recruitment and hiring managers including process workflows, standard operating procedures, and work instructions
Monitor performance of key vendors including, but not limited to, Radancy and Certiphi to ensure service-level agreements are being delivered
Participate in the creation, generation, and distribution of ad-hoc reports
Manage the HMH employee referral and sign-on bonus process by tracking all referrals and sign-on bonuses and submitting regular referral bonus reports to Payroll
Manage and maintain the ERP mailbox and intranet page and also answer all questions from HMH leadership about the program
May perform general recruitment functions including providing support for HR projects, assisting with events, assisting with onboarding
Manage the I-9 dashboard for all new hires to ensure we maintain compliance with I-9 regulations
Manage TMSS cases on behalf of the Talent Selection team
Work with managers to ensure awareness of employment authorization regulations, procedures, and policies
Responsible for monitoring all expiring employment authorization documents and working with leaders to process any necessary terminations to ensure all team members remain legally able to work
Act as a liaison between HR Operations and the hiring manager to identify team members who are subject to termination due to I-9 non-compliance
Work with Legal and outside counsel to ensure HMH is following the current I-9 regulations and educates team members and leaders on I-9 regulations as needed
Other duties and/or projects as assigned

Required

Bachelor's degree
Minimum of 3 years of recruiting, onboarding, project management, and/or recruiting operations experience in a fast-paced environment
Attention to detail and demonstrable track record of operational excellence in the HR realm
Strong client relationship management capabilities and capable of rapidly building strong, effective, and trusted relationships and networks
Highly motivated, energizing, and inspires others to seek higher levels of performance
Strong oral and written communication skills with the ability to influence and articulate a variety of issues to different audiences, tailoring messages accordingly
Ability to utilize technical expertise when performing problem/situational analysis
Analytical thinking and planning skills
Experience using standard recruiting tools and a desire to explore and implement new tools to further streamline the recruiting process
Ability to deal with ambiguity, prioritize competing priorities, and pivot quickly
Ability to work as part of a team
Ability to understand, follow directions, and meet deadlines

Preferred

Experience with iCIMS is a plus
