Front Desk Coordinator

Responsibilities

Greet patients warmly, verify appointment details, and facilitate efficient check-in and check-out processes
Provide essential support by scheduling appointments, managing patient flow, and handling insurance or billing inquiries
Handle all incoming correspondence, including emails, mail, and deliveries, with accuracy and promptness
Maintain organized filing systems, data entry records, and ensure confidentiality of sensitive information
Manage the clinical schedule and verify insurance benefits and eligibility
Assist with office management duties such as supply inventory, equipment maintenance, and general administrative support
Maintain a safe and clean workstation and clinic environment (washing and folding towels) and resetting treatment tables and gym equipment between patient sessions (if time allows)
Assist as backup with patient intake by collecting medical histories, updating records, and ensuring accurate documentation within our Electronic Health Record (EHR) system (WebPT)

Required

Proven experience in office administration or reception roles, preferably in a healthcare or professional services setting such as physical therapy or medical offices
Exceptional phone etiquette and customer service skills to handle inquiries professionally
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
You have a solid grasp of basic health insurance literacy and experience dealing with insurance-based situations (deductibles, co-insurance, OON benefits, etc.)

Preferred

Previous experience with office management systems, data entry, filing, proofreading, and calendar management is preferred
