The AP / AR Coordinator is responsible for managing day-to-day accounts payable and accounts receivable functions, ensuring accurate billing and strong vendor relationships.
Construction
Responsibilities
Receive, review, and verify all vendor invoices (materials, equipment, subcontract labor, rentals)
Confirm invoices match purchase orders, pricing, and materials/labor received
Enter 100% of bills into ServiceTitan with correct job, phase, and cost coding
Attach invoice documentation within ServiceTitan
Prepare weekly AP summaries for approval (due, upcoming, and overdue invoices)
Assist with payment preparation (ACH, checks, LOC coordination)
Maintain vendor records and payment terms
Prevent duplicate or incorrect payments
Generate invoices promptly upon rough completion, trim completion, and service job close-out
Ensure invoices are accurate, complete, and compliant with builder requirements
Submit invoices through required builder portals or via email
Track invoice submission dates, payment terms, and expected payment dates
Monitor AR aging in ServiceTitan and perform weekly follow-ups on past-due accounts
Apply payments accurately in ServiceTitan and flag short-pays or discrepancies
Resolve billing disputes in coordination with management
Provide weekly AR aging and cash status reports
Qualification
Required
Proficiency in Invoicing and knowledge of basic Accounting and Finance principles & Quickbooks
Strong Analytical Skills for problem-solving and financial data evaluation
Excellent Communication skills for collaboration with team members, vendors, and clients
Attention to detail and ability to maintain accurate financial records
Proficiency in accounting software and Microsoft Office Suite
Preferred
Familiarity with HVAC industry operations is a plus
Associate degree in Accounting, Finance, or a related field preferred
