Responsibilities
Assist the Accounting Operations Manager across all major accounting functions
Manage accounts payable for multiple entities
Reconcile purchase orders, invoices, pricing, and payment terms and ensure timely payment processing
Prepare bi‑weekly and monthly customer invoices and reconcile incoming payments
Prepare and record bank deposits
Process payroll for multiple entities
Collaborate with HR to reconcile benefits invoicing with employee deductions
Process employee travel expense reports and ensure timely reimbursements
Prepare and file tax deposits and returns (monthly, quarterly, annual) across multiple states
Assist with month‑end and year‑end closing
Perform ledger account analysis and reconciliations and prepare journal entries
Produce scheduled and ad hoc financial reports
Complete additional tasks as assigned by management
Qualification
Required
Strong understanding of accounting principles and procedures
Ability to follow instructions and maintain a high level of accuracy
Proven attention to detail and organizational skills
Ability to manage sensitive and confidential information responsibly
Strong written and verbal communication skills
Ability to research, analyze, and interpret accounting records
Ability to build and maintain positive working relationships with colleagues, clients, and vendors
Strong time-management skills with the ability to prioritize tasks and work independently
Proficiency with Microsoft Office Suite (especially Excel) and Adobe Acrobat/Sign
5-7 years of work experience as an Accounting Assistant or similar role
Preferred
Advanced proficiency in Deltek Costpoint is strongly preferred, as it is used extensively in daily operations
Bachelor's degree in Accounting or a related field preferred, but not required
