Administrative Assistant (OIDD-Coastal)
NEOGOV is seeking an Administrative Assistant to join the Department of Behavioral Health and Developmental Disabilities (BHDD). This role involves performing clerical and administrative duties, maintaining records, and serving as a liaison between departments to ensure efficient operations within the facility.

Responsibilities
Organizes information, both routine and confidential, processed through Facility Administrators office. Serves as liaison between all departments. Schedules meetings, appointments, conferences, travel arrangements and processes all telephone communications. Responsible for filing and ordering office supplies
Assists in retrieving requested files during Department of Public Health (DPH) survey and assists in compiling the Plan of Correction submissions with Quality Assurance Manager
Maintains spreadsheet for Campus Census to include level of functioning, Behavior Support Plan (BSP), Drug Plan, and adaptive equipment. Updates Level of Care spreadsheet as needed. Develops the directives spreadsheet to ensure all directives are updated as needed
Takes minutes at meetings lead by Facility Administrator and at Emergency Preparedness Meeting
Submits monthly Human Rights Committee (HRC) Abuse, Neglect, and Exploitation (ANE)/Critical/Death report
Submit monthly HRC, ANE, Critical, Death reports
Compiles the necessary information for the monthly newsletter and distributing across campus and to Parents Group Association (PGA). Develops requested fliers and certificates to recognize upcoming events and areas of appreciation
Performs other duties as determined by Facility Administrator (FA), Assistant Facility Administrator (AFA), and Quality Assurance Manager (QA)
Qualification
Required
A high school diploma and work experience that is directly related to the area of employment
A bachelor's degree may be substituted for the related work experience
A Valid Drivers License
Preferred
Knowledge of bookkeeping, merchandising and applicable sales principles and practices
Knowledge of the principles, policies and practices of office management
Knowledge of applicable terminology and research practices
Knowledge of relevant laws, regulations, policies and organizational functions
Knowledge of flight operations
Skill in microfilm photography
Skill in the operation of a motor vehicle
Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals
Ability to communicate effectively
Ability to train other employees
Ability to deal courteously and effectively with the public
Ability to exercise judgement and discretion in interpreting and applying policies and procedures
