Administrative Assistant

Responsibilities
Provides administrative assistance to the Anesthesiologist-in-Chief, including coordinating and arranging calendar; setting up meetings; drafting letters and documents; managing phones, triaging calls, providing information to internal and external callers
Tracks and processes expense reports for Department reimbursements, verifying, investigating and calculating expenses before approval. Maintains databases of expenditure for Department accounts. Enters expense reports into Workday
Enters orders for equipment and supplies into Workday and submits invoices to Accounts Payable
Processes travel expenses for the Global Musculoskeletal Health Equity Division (GMHED) program
Serves as backup timekeeper and processes payroll as needed, ensuring accuracy. Serves as a resource to staff for payroll-related questions
Serves as backup for preparing the anesthesiology portion of the daily OR schedule and entering assignments into Epic
Joins telehealth calls as needed, to inform patients if the physician is running late
Performs general office duties, ie collecting and distributing mail, keeping office tidy, etc
Duties as necessary in the absence of other administrative office staff members
Qualification
Required
Bachelor's degree
Computer proficiency (Word, Outlook) required
Excellent verbal and written communication skills
Ability to multitask and meet deadlines
Preferred
Hospital or healthcare office experience
Workday, Epic, and Dimensions experience
