Front Desk Administrative Assistant

Aimbridge Hospitality is looking for a Front Desk Administrative Assistant to provide essential administrative support to their team. The role involves managing various administrative tasks, ensuring efficiency, and serving as the welcoming face of their Global Support Center.

Responsibilities

Provide administrative support to the different teams, ensuring accuracy, timeliness, and organization across initiatives
Manage invoicing and expense tracking, including reconciliation and follow-up
Support reporting updates in Power BI, including maintaining the Master Property List and updating guest satisfaction and performance reporting
Assist with PowerPoint deck creation, incorporating operational and performance reporting data
Manage calendars for external meetings with owners, including reserving conference rooms, coordinating catering, setting up/breaking down meeting spaces
Schedule travel using Concur
Serve as the first point of contact for visitors, ensuring a professional and welcoming experience
Manage guest check-ins, meeting arrivals, and general front desk inquiries

Required

High school diploma or equivalent required
One to two years of related experience required, or equivalent combination of education and experience
Meets the demands of the work schedule, to be at work and on time
May occasionally require the ability to work outside of regularly scheduled hours
Schedules may vary based on business need
Experience working with reporting platforms such as Microsoft Excel, PowerPoint, Word, Outlook, and Power BI
High attention to detail with strong organizational skills
Clear, professional written and verbal communication skills
Ability to manage multiple priorities in a fast-paced, deadline-driven environment

Preferred

Familiarity with Concur and/or Coupa
Experience managing personal expenses using a corporate card or P-card
Background in hospitality, hotel operations, or a corporate environment
