Finance & Operations Coordinator
UFA, Inc. is a global leader in developing Air Traffic Control simulation technologies, headquartered in Woburn, Massachusetts. They are seeking a highly organized and adaptable Finance & Operations Coordinator to support day-to-day accounting, finance, HR, IT, and administrative operations, ensuring operational continuity and accuracy across departments.

Responsibilities
Support accounts payable (AP) processes, including invoice intake, coding, approvals, and payment execution through banking platforms and Ramp
Assist with accounts receivable (AR) activities, including customer invoicing, tracking receivables, and following up on past-due balances
Communicate with vendors and customers regarding billing, payments, and account inquiries
Support ad hoc financial reporting, data requests, and basic analysis
Assist with budgeting support, including tracking budget vs. actuals for travel, expenses, and capital planning
Partner with employees and managers to ensure timely and accurate expense submissions and approvals in Ramp
Troubleshoot expense-related questions and support compliance with company policies
Support HR administration, including onboarding coordination, recruiting support, employee documentation, and responding to routine employee requests
Assist with maintaining employee records and systems access
Partner closely with HR to absorb overflow administrative tasks as needed
Provide basic support for employee system access, logins, timesheets, and troubleshooting
Coordinate with internal and external IT resources as needed
Manage incoming office mail and general correspondence
Support office operations, including vendor coordination, address changes, and new office setup or transitions
Assist with general operational tasks that support day-to-day business continuity
Qualification
Required
Prior experience supporting AP/AR, accounting, or finance operations
Working knowledge of basic accounting principles and financial processes
Strong organizational skills with the ability to manage multiple priorities and deadlines
Strong written and verbal communication skills
Comfortable working across finance, operations, HR, and administrative functions
High level of discretion and professionalism when handling confidential information
Preferred
Experience with NetSuite, Ramp, and Microsoft Excel strongly preferred
