Responsibilities

Provide high-level administrative support to the leadership team, including special projects, presentations, meetings, and company initiatives
Serve as the first point of contact for incoming calls and visitors, directing inquiries appropriately
Coordinate calendars, meetings, agendas, conference rooms, and video/teleconference setups
Arrange domestic travel logistics including flights, lodging, transportation, and itineraries
Manage office supply inventory, purchasing, and vendor coordination
Oversee facilities operations and maintenance, coordinating with vendors for cleaning, utilities, internet, phone systems, alarms, and general upkeep
Partner with HR on onboarding logistics and new-hire workspace setup to ensure a positive first-day experience
Support onsite meetings and events, including room setup, catering, and post-event cleanup
Assist with planning and execution of company events, training sessions, and employee appreciation activities
Maintain shared spaces including a test kitchen and preparation areas, ensuring cleanliness and adequate supplies
Collaborate with the marketing team on mailers, special projects, and sales/marketing material inventory
Manage print, copy, and literature rooms and fulfill requests for outside sales teams
Provide administrative and coordination support to the sales team, including research and partner communications
Promote a positive, energetic company culture that balances results with teamwork and fun
Perform additional duties as needed to support business operations

Required

Strong organizational and time management skills with the ability to manage competing priorities
Proven vendor management, negotiation, and problem-solving capabilities
Excellent written and verbal communication skills with a professional, polished presence
Proficiency with Microsoft Office, Microsoft Teams, and standard office technology
Ability to professionally engage with customers, vendors, and industry peers
Hands-on, proactive mindset with strong attention to detail
