Executive Assistant- (Part Time)
Boys & Girls Clubs of the Northern Indiana Corridor is seeking an Executive Assistant to provide advanced clerical and administrative support to the Chief Executive Officer. The role involves managing schedules, coordinating meetings, and handling confidential information while maintaining close contact with stakeholders.

Responsibilities
Performs advanced secretarial duties; researches, complies, and prepares reports and correspondence. Proofreads all materials for accuracy prior to supervisory review and signature
Assists with CEO’s extremely active calendar, scheduling meetings and making logistical and travel arrangements necessary for internal and external meetings
Coordinates logistics and materials for Board meetings. Prepares meeting agendas and minutes, as requested
Anticipates in advance what the CEO needs and plans accordingly
Protects the CEO’s time allowing maximization of CEO’s effectiveness. Knows the CEO’s priorities and assists the CEO in focusing on the high-leverage activities
Organizes, prioritizes, and coordinates multiple work activities with the ability to meet deadlines
Collaborate with Marketing and Communications team on materials for executive management
Answers telephones, providing general information, referring callers to other staff or taking messages as necessary
Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information
Monitor office supply inventory and order supplies as necessary
Handles requests and queries appropriately and proactively
Ability to professionally represent the CEO and BGCNIC while maintaining relationships with all key stakeholders
Provides support for the CEO outside of the traditional office setting
Performs special projects as assigned
Other duties as assigned
Qualification
Required
Bachelor's degree
Must be comfortable in office environment with strong computer skills
Excellent written and verbal communication skills
Good organization and attention to detail
Strong customer relations skills
Able to maintain strict confidentiality
Must be self-motivated, competitive, creative, personable, and detail-oriented with excellent written and verbal skills
Strong emphasis on solution-based thinking, positivity, and ability to execute
Team player who is ethical, transparent in communication, and treats colleagues, Club members, and their families with the highest level of respect
Exercises strong judgment and maintains a high level of confidentiality when dealing with confidential and sensitive matters
Must be able to pass any and all required background screens and drug screens at any time
