Responsibilities

Serve as the primary ‘front desk’ presence at the Hub campus, greeting and assisting employees, visitors, vendors, and customers
Answer and route inbound phone calls; monitor voicemail and general inboxes
Monitor and respond to facilities and security radios during assigned coverage hours
Serve as the central intake point for office and facilities requests received in person, by phone, email, or radio
Provide clear, professional, and welcoming customer service aligned with Relay’s accessibility and inclusion standards
Support front-of-house operations in alignment with established office hours, appointment systems, and facilities protocols
Receive, log, and execute standardized, non-technical facilities and workplace requests using documented procedures and checklists
Triage requests to determine whether they can be completed directly or require escalation to Facilities staff or the Facilities & Office Administration Manager
Execute defined facilities support tasks such as room setups, basic workspace adjustments, signage placement, supply staging, and light office moves
Prepare spaces for facilities projects by clearing rooms, staging furniture, coordinating access, and ensuring readiness for Facilities staff or vendors
Track facilities requests through completion and provide status updates to requestors
Coordinate incoming and outgoing mail, deliveries, shipping, and equipment returns
Assist with stocking, tracking, and reordering office, kitchen, and shared-space supplies
Maintain organized supply areas and notify the Facilities & Office Administration Manager of low inventory or reordering needs
Support ordering of printed materials and business cards following established procedures
Assist with setup, breakdown, and logistical support for internal meetings, trainings, and employee activities
Ensure conference rooms and shared spaces are prepared, accessible, and ready for scheduled use
Follow documented procedures, workflows, and checklists consistently
Participate in training and cross-coverage for front desk, office, and facilities support functions
Identify opportunities for process improvement and share suggestions with the Facilities & Office Administration Manager

Required

Interest in office administration, facilities coordination, or workspace support functions
Basic computer skills, including email, word processing, and calendars
Strong reliability, punctuality, and attention to detail
Clear communication skills and a customer-service mindset
Ability to follow instructions, complete defined tasks independently, and ask questions when needed

Preferred

Prior exposure to office, front desk, facilities, school, volunteer, or customer service environments
Familiarity with basic office equipment (phones, printers, copiers)
Interest in nonprofit, social enterprise, or mission-driven organizations
