Psychology Administrative Supervisor

Responsibilities

Supervises multiple psychology department personnel across thirteen facility units by supporting records related to data collection of person-centered recovery plans, milestones, and goals
Performs direct supervisory duties, including on-boarding, training, and managing employee performance related to direct reports
Coordinates with HHS HR and General Counsel to determine appropriate level for corrective and/or disciplinary actions
Develops advanced administrative support guidelines for all support staff of the Psychology department including calendar management, tracking patient psychological assessments, and department expenditures
Research, consolidate, and prepare monthly, quarterly, and annual reports to Governing Body, the Mock Survey Team, and multiple facility and system-wide committees for psychology department
The reporting confirms effectiveness, timeliness, and cohesiveness of the psychology department’s vision and mission to individuals served
Coordinates with the multi-disciplinary treatment team members to ensure all aspects of the person-centered recovery plans are addressed, documented, and updated as clinical progress is noted per the weekly person-centered recovery plan reviews
Analyzes, and administers collection of data related to clinical programming and person-centered recovery plans
Audits and adjusts policy and procedures to ensure accuracy throughout
Plans, implements, monitors, and evaluates programs to ensure consistent and effective services are delivered across patient populations
Develops and standardizes treatment modalities and procedures for new employees serving acute, geriatric, and other patient populations, ensuring staff are trained in approved practices that promote recovery-oriented, trauma-informed, and evidence-based care
Audits for compliance with policy and procedures, providing additional training as needed
Manages the on-boarding process for all new Psychology Department staff
Provides support to Department of Psychology in scheduling and tracking psychological assessment instrument needs
Coordinates travel and seeks reimbursement for all department staff, tracks departmental budget by preparing, consolidating, and submitting all necessary receipts
Prepares and provides educational materials for new administrative support staff
Identifies time-critical workflow problems and implements policy and procedural solutions related to psychology program duties regarding flow and nature of documentation
Manages FLSA overtime for assigned staff to balance business needs with budgetary restrictions
Regularly reviews processes for improvement opportunities including the use of new technology and provides additional training as policies and procedures evolve and ensures standardization among assigned units
Provides critical back-up duties for staff vacancies, leaves of absence, and ad hoc non-availability
Conducts compliance audits and special investigations pertaining to The Joint Commission standards to evaluate program effectiveness, identify systemic issues, and support continuous quality improvement initiatives
Analyzes qualitative and quantitative data, reviews and adjusts policies and practices, develops recommendations to improve data integrity, service delivery, compliance, and alignment with organizational goals
Actively participates in the hospital's Falls Committee with the goal of reducing patient injuries, lessen staff 1-to-1 individual assignment, tracking and reporting to appropriate department and senior hospital leadership
Participates in the monthly Quality Management Audits to develop improved guidelines and procedures to reduce the risk for patient suicide, restraint and seclusion reduction, and ad hoc hospital focused goals
Performs other duties as assigned

Required

Must be proficient in Microsoft Office applications including Word, Excel, and Powerpoint
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE)
Males between the ages of 18-25 must be registered with the Selective Service
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age
Flexibility in work hours may be required for this position
The position may be required to work overtime and/or extended hours
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required
