Operations & Finance Manager
Camp Jamison is a Philadelphia-rooted overnight summer camp committed to providing youth with a safe and supportive camp experience. They are hiring a part-time Operations & Finance Manager to oversee core operations workflows across finance, donor, and people operations, ensuring smooth and sustainable management as they grow.
Responsibilities
Track income and expenses consistently and accurately
Coordinate bill pay and vendor payments (with defined approval processes)
Maintain clean documentation for the accountant
Support monthly reconciliation and finance reporting preparation
Provide a simple weekly cash snapshot (what’s in / what’s out / what needs attention)
Send camper invoices and track payment status
Maintain an up-to-date list of outstanding balances
Send follow-up reminders using approved templates
Provide weekly reporting to the Executive Director
Enter donations into DonorPerfect
Maintain clean donor records and data accuracy
Generate weekly acknowledgment lists
Draft and send donor thank-you notes/letters for approval/signature when needed
Ensure donors are thanked promptly and consistently
Track staff onboarding paperwork and required documentation
Maintain organized staff files and operational checklists
Support seasonal hiring workflows through tracking, follow-ups, and document collection
Coordinate tax-season document preparation with the accountant (not filing taxes)
Maintain contractor compliance documentation (W-9 collection, 1099 tracking support)
Track insurance renewal timelines and maintain insurance documentation
Request and distribute Certificates of Insurance (COIs) to partners, vendors, and funders as needed
Qualification
Required

Comfortable communicating professionally with families, vendors, and partners
Experienced with nonprofit operations, finance admin, or small business management
Trustworthy with sensitive and confidential information
Supportive of Camp Jamison's mission and values
