Accounts Payable Coordinator
Pro-Mart Industries is a fast-growing import and distribution company supplying major U.S. retailers with container-based shipments from overseas. They are seeking a detail-oriented Accounts Payable Coordinator responsible for managing overseas vendor invoices, reconciling freight costs, and ensuring accurate cost tracking in an ERP environment.
Responsibilities
Process and verify A/P for overseas vendors, freight forwarders, drayage, customs, and warehouse-related costs
Perform 3-way matching between Purchase Orders, Bills of Lading, Freight Invoices, and Vendor Bills
Validate ocean freight, duty, AMS/ISF, terminal handling, and other accessorial charges
Accurately allocate landed costs into the ERP system for proper cost of goods tracking
Input voucher invoices and maintain accurate A/P entries in Macola Progression
Reconcile vendor statements, research and correct discrepancies, and prevent duplicate payments
Coordinate with other departments to secure timely approvals and resolve invoice issues
Prepare and process payments (checks, ACH, wires) and reconcile related reports
Communicate with overseas vendors regarding invoice confirmations and payment terms
Support month-end closing with freight cost accruals and reconciliation
Assist with annual 1099 preparation and audit documentation
Qualification
Required
Associate's degree or equivalent experience in accounting or related field
3–5 years of A/P experience in an import, wholesale, or retail distribution environment
Working knowledge of modular ERP systems (Macola Progression preferred; SAP, NetSuite, or similar acceptable)
Familiarity with freight and import terms (DDP, FOB, drayage, AMS, ISF, DDC, etc.)
Proficient in MS Office (Excel, Outlook, Word); Office 365 experience a plus
Strong attention to detail, organization, and ability to meet deadlines
Excellent communication and problem-solving skills
