Finance and Account Manager, (Financial Administration Specialist), Eskenazi Museum

Indiana University is seeking a Finance and Account Manager for the Eskenazi Museum of Art. This role involves managing daily financial operations, developing financial policies, and ensuring compliance with university standards while providing financial guidance to museum leadership.

Responsibilities

Creates and analyzes reports on operations, performance, and long-term planning for senior management
Reports to the Finance, Administration and Budget office, with a secondary reporting structure to Museum Leadership
Initiates and/or reviews financial transactions, for all accounts within the Museum. Provides guidance on funding sources for transactions. Reconciles all financial activity according to IU and IUF guidelines; monitors financial activities for policy compliance
Monitors operating and departmental budgets and explores any significant variances from approved budgets. Provides spending updates to directors and project managers to ensure appropriate allocation, reporting, and adherence to budget
Provide monthly financial statements, prepares variance analyses, and quarterly reports for Museum Leadership
Directs the management of general appropriation, endowment, federal and non-federal grants and contracts, and gift funds
Ensures that gift funds are expended in accordance with donor intent, and IUF's guidance regarding annual spending is addressed
Works with the Finance, Administration and Budget's shared services team to facilitate transactions and payroll processing
Provides adhoc financial analysis as needed to Museum leadership, to facilitate staffing plans, hiring budgets, and future planning
Reconciles IU and IU Foundation accounts, providing monthly, quarterly, and annual budget updates and fiscal guidance to directors and project managers to ensure appropriate allocation and reporting
Facilitates year-end closing activities
Using knowledge and application of accepted procedures and standards, performs detailed financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college
Makes recommendations on policies and guidelines for division/department activities
Controls all expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity
Manages general appropriation, endowment, federal and non-federal grants and contracts, and gift funds
Develops, plans, and makes recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans
Prepares operating and project budget drafts. Regularly explains financial concepts to non-financial employees
Monitors division/departmental budgets and resolves or recommends resolutions for any significant deviations from approved budgets
May provide guidance to lower-level employees

Required

Bachelor's degree in finance, business, or related field
2 years of relevant experience
Proficient communication skills

Demonstrates ability to interpret and apply concepts and policies to daily work functions
Ability to clearly present material and make it accessible to a variety of audiences
Ability to interpret financial documents from an accounting, policy, and practice perspectives
